Refurbished IT equipment for business: where it wins, where it costs you

Professional refurbished hardware halves the price of user workstations and can cut server costs by two thirds. It also loses money when it is placed wrongly in the architecture. Here is what the public figures say, what IT directors say, and how we arbitrate.

The price gap actually observed

These orders of magnitude come from public B2B comparisons and European buying guides. They vary widely with generation, configuration and volume.

Refurbished, recertified, grades: what the words actually cover

No European standard defines IT refurbishment or how deep the process must go. The words used are therefore not guarantees: they are claims to verify.

Refurbished
Second-hand equipment that has been through a restoration process: inspection, part replacement, certified data erasure, performance testing. It is the process that separates refurbished from merely used, not the word.
Factory refurbished
Implies a return to the manufacturer. In Spanish, reacondicionado de fábrica carries the same implication. Ask which facility performed the work.
Grades A, B and C
An essentially cosmetic classification. Grade A: near new appearance. Grade B: light scratches, fully functional. Grade C: visible wear, functional tests passed. The grade says nothing about usage history or testing depth.
Manufacturer vs third-party refurbished
Manufacturer programmes such as HPE Renew, Lenovo Certified Pre-Owned, Cisco Refresh, Fujitsu Refresh and Dell apply a documented process. Third-party refurbishment ranges from excellent to plain used hardware resold as is. That is where most of the risk sits.
Recertified
A common English term suggesting a manufacturer or partner process, but with no shared standard behind it. It is not automatically equivalent to a full refurbishment.
Used / segunda mano
Second-hand with no process implied. Acceptable as a category in its own right, but not as a substitute in a specification that asks for refurbished equipment.

What IT directors object to, and what those objections are worth

The first objection is the unknown history of the machine: refurbished hardware has already served, sometimes as a return, and the buyer does not know why. It is a serious objection and it is answered by the supplier, not by the brand: a refurbisher that documents its test process and certified data erasure answers it; a batch seller with no traceability never will.

The second is financial and counter-intuitive: once collection, diagnosis, adaptation and fleet standardisation costs are included, the gap with new narrows. That is well founded. It argues for homogeneous batches and sufficient volumes, not for giving up.

The third concerns support. Commercial warranties on refurbished hardware are shorter than on new, and the cost of extended support rises non-linearly with the age of the machine. On a server estate it is frequently cheaper to buy redundancy than to buy extended warranty.

The fourth is technical and rarely anticipated: firmware locking. On some server models, a component that does not exactly match the firmware whitelist makes the fans run permanently at maximum, with no way back to normal speed. Acceptable in a dedicated room, unacceptable in a space shared with people. This has to be checked model by model before purchase, not after.

The fifth is integration into an existing third-party or manufacturer maintenance contract. Refurbishers advertise the purchase saving; almost none explains how to bring a refurbished unit into an infrastructure already covered by an active support contract. That is the question that most often stalls projects, and it is settled upstream with the maintainer.

Conversely, administrators themselves regularly make one point in favour: a server refurbished by an established reseller often arrives with fewer build errors and fewer early failures than a new server of the same brand, precisely because it was explicitly tested before shipping. The divide is not new against refurbished: it is serious suppliers against the rest.

In B2B the duration is whatever the commercial warranty says. It must appear in writing in the quotation, with its scope and response time.

The environmental case, quantified and sourced

This is the only sustainability argument in this family that rests on institutional life cycle assessments rather than marketing. The French environment agency ADEME, in its synthesis on the environmental impact of refurbishment, establishes that choosing refurbished over new avoids, for a laptop, 43 to 97% of annual impact depending on the indicator: the extraction of 127 kg of raw materials and the emission of 27 kg of CO₂ per year of use.

For a desktop, the same study records 36 to 99% of annual impact avoided, or 259 kg of raw materials and 42 kg of CO₂ per year of use. On its reference scenario, a new machine used five years against a refurbished one used three, acquiring a refurbished laptop represents a 77% reduction in global warming potential per year of use.

These figures cover user equipment. Servers, racks and heavy equipment are far less documented publicly: we do not extrapolate from them, and we advise against doing so in a sustainability report.

What we require from a refurbished supplier

  • Is the refurbishment process documented: inspection, parts replaced, functional tests, certified data erasure with a report?
  • Is the commercial warranty written down, with duration, scope and response time, rather than merely announced?
  • Are the batches homogeneous? Fifty identical machines are not managed like fifty different ones.
  • Does the server model in view enforce a component whitelist at firmware level? What happens if a disk or a memory module is not on it?
  • Will the incumbent third-party or manufacturer maintainer accept these units into the existing contract? The answer must be obtained before ordering.
  • Are spare parts available at three years, and at what price?
  • Has the cost of extended support been compared with the cost of one more redundant node?
  • Is this a manufacturer programme or a third-party refurbisher? Both can work, but not at the same price nor with the same level of proof.

Frequently asked questions

Is refurbished hardware reliable for professional use?

That depends entirely on the refurbisher, not on the concept. Manufacturer programmes and large European refurbishers report post-refurbishment failure rates below 2%. At the other end, administrators report catastrophic failure rates on cheap hardware bought with no process behind it. The word refurbished guarantees nothing on its own.

What warranty applies to refurbished hardware in B2B?

In European B2C, the two-year statutory conformity guarantee applies to refurbished goods as it does to new. In B2B the duration is commercial: professional refurbishers commonly offer 12 to 36 months, often with paid extensions. It must be written into the quotation.

Where should refurbished be avoided?

On critical environments under strict manufacturer SLAs, on workloads requiring the latest processor generations, and in regulatory contexts demanding strong proof of hardware conformity. The sound split is refurbished for development, test, disaster recovery and secondary workstations, new for the critical core.

What are grades A, B and C worth?

They are cosmetic grades: they describe appearance, not usage history or testing depth. A poorly tested Grade A is worth less than a Grade B from a documented process. Ask for the test report, not the letter.

Are second-hand UPS units a good deal?

Rarely, and this is the most important special case on this page. A UPS contains sacrificial, single-use protection components: after a significant transient they are degraded with nothing visible from the outside. How do we justify refurbished in a sustainability report?

By citing public life cycle assessments rather than unsourced percentages. On user equipment, ADEME quantifies annual impact avoided at between 40 and 90% depending on indicator and machine type. On servers and heavy equipment the public data is missing: it is better to claim nothing than to extrapolate.
