UHF RFID, barcode and rugged handhelds: sourcing for warehousing and industry

The reference figures to demand from a supplier

These thresholds are the ones found on the certification sheets of manufacturers active in Europe. They are the minimum to have confirmed in writing in a quotation, brand by brand.

A US 902-928 MHz unit resold in Europe sits outside the ETSI band. It is the costliest purchasing mistake in this family.

What datasheets never tell you

Certification figures are measured in a laboratory, under stable conditions. Field failures almost always come from somewhere else. Two behaviours in particular appear on no product sheet, yet they decide whether a cold-chain deployment succeeds.

The first is the voltage drop of lithium-ion batteries in cold storage. Stated runtime is measured at around 20 °C; at -25 °C the same battery delivers a fraction of it and the device shuts down mid-shift. The answer is not a different model but sizing the battery pool and charging cradles accordingly, or selecting a unit with a heated battery.

The second is condensation. A handheld moving repeatedly between a chilled airlock and an ambient zone fogs its scan window and imager optics. Reads fail with no detectable hardware fault. A datasheet stating -20 °C to +50 °C is accurate and useless for settling this point: the anti-fog treatment of the window has to be checked separately, and stabilisation time between zones planned for.

The same logic applies to radio frequency. At 865-868 MHz, water and metal absorb the wave. A standard tag applied to a metal drum or a pallet of bottles can see its range collapse to a few centimetres, whatever reader sits in front of it. The mounting surface and the tag type decide range before the reading hardware does.

RFID or barcode: the real trade-off

The question buyers actually ask is rarely which technology is better, but where the RFID premium pays for itself. Feedback from supply chain practitioners converges: wiring an entire warehouse with fixed readers is seldom realistic, and the return does not come from read speed. It comes from picking accuracy, inventory accuracy, shrink reduction, and documentary proof to deny short-shipment claims.

In practice the gain concentrates on a few choke points: goods-in, dispatch, cycle counting. The rest of the flow can stay on barcode with no loss.

For reusable container tracking, a hybrid deployment is often the best economic compromise: passive tags identify the item, while a small fraction of the fleet carries active trackers (Bluetooth, or cellular and GPS, in the 15 to 40 dollar range per unit). Because containers travel and sit in batches, one sentinel tracker in a stack of twenty is usually enough to locate the whole pile.

Finally, there are situations where the right answer is the cheapest one: a wired keyboard-wedge USB scanner on a mobile workstation does the job for a fraction of the budget. Saying so is part of the advice.

The vocabulary, in your supplier's language

Ordering errors in this family often trace back to a mistranslated word. These are the terms European distributors actually use, and the ones that cause confusion.

UHF RFID reader (EN)
The professional standard, split into handheld and fixed UHF RFID reader. RFID scanner appears in marketing copy but is not the trade term and should stay out of a specification.
Lecteur RFID UHF (FR)
The standard in French catalogues, with lecteur fixe for fixed units and lecteur portable for handhelds. Scanner RFID does not appear in the titles of serious distributors.
Lector RFID UHF (ES)
The Spanish standard, with lector fijo for fixed readers and lector de mano or lector portátil for handhelds. Escáner RFID should be avoided in a tender document.
Douchette (FR) is not a pistola (ES)
In French a douchette is a corded or cordless barcode scanner. In Spanish a pistola de radiofrecuencia is a full pistol-grip terminal. Confusing the two in an enquiry means comparing a 100 EUR accessory with a 1,500 EUR device.
Rugged handheld / terminal durci / rugerizado
Rugerizado is the technical anglicism universally adopted by Spanish distributors. In English, rugged PDA is steadily giving way to rugged mobile computer or rugged handheld.
Vehicle-mounted terminal
A terminal mounted on and powered by a forklift. In Spanish, terminal montado en vehículo, fitted to a carretilla, which means the forklift itself and must not be confused with transpaleta, the pallet truck.

What we check before recommending a model

This list is the core of our sourcing work. Every line has already cost somebody money.

  • Has the proposed tag been tested on your actual surface, metal, liquid or stretch film, rather than on cardboard under laboratory conditions?
  • Is the model genuinely in the ETSI 865-868 MHz band, and not a 902-928 MHz version intended for the US market?
  • Will the supplier commit in writing to the IP rating and the drop height, or is it simply copying the manufacturer's brochure?
  • What is the stated availability of spare batteries at three years, and at what price? It is the first wear part of any mobile fleet.
  • Is the device covered by an Android security update programme with a stated end date, or will it be unpatchable in eighteen months?
  • Are existing cradles, pistol grips and vehicle mounts compatible with the proposed generation, or does every accessory have to be repurchased?
  • Are staging and fleet management licences included in the price, or billed separately and per device?
  • Are the quoted lead times the distributor's or the manufacturer's? The gap is often measured in weeks.

Frequently asked questions

What read range should I expect from a passive UHF RFID reader?

Between 1 and 12 metres depending on the tag, the antenna, its polarisation and the environment. At 865-868 MHz water and metal absorb the wave: a standard tag on a metal drum or a pallet of bottles can drop to a few centimetres. The mounting surface decides range before the reader does.

Do I need RFID portals throughout the warehouse?

Rarely. Wiring a whole warehouse with fixed readers is expensive and field feedback is mixed. The gain concentrates on a few choke points, goods-in, dispatch and cycle counting, and on having proof to deny delivery claims.

Passive RFID or active trackers for containers?

Usually both. Passive tags identify the item at a low unit cost; active trackers, roughly 15 to 40 dollars each, locate the container. Because containers move in batches, one tracker per stack of twenty is generally enough to know where the whole pile is.

Will an IP67 handheld work in cold storage?

The IP rating does not answer that question: it covers dust and water, not cold or condensation. Operating temperature range, battery behaviour below 0 °C and anti-fog treatment of the scan window all have to be checked separately.
